Conference and event company: a plus one briefed before the doors open

Name badge. Seating plan. A round table of people you met at nine this morning. Evening events in London hotels assume you arrive with someone, and this arrangement supplies a companion who can talk comfortably to a finance director, find the cloakroom before you do and never needs rescuing from a conversation.

Events are planned bookings. Half the fee is transferred in advance to hold the date, and the travel portion of it is non-refundable, since she blocks out a whole evening and dresses for one specific room. Most dinners and awards nights fit the four hour line at £900. Shorter receptions and longer galas take the matching lines on the rates board.

Ten minutes of briefing

A short brief makes the whole evening. The business belongs to you. She listens, asks good questions of the people either side, and hands the conversation back when it matters. After the last speech

When the room thins out, the evening can end at the door or carry on. A nightcap at your own hotel bar, a quiet hour before an early flight. If you expect to want more time, put it in the briefing, so the desk can keep her diary clear beyond the four hours instead of asking at midnight.

Arriving separately, leaving together

Some guests prefer not to walk into the drinks reception side by side with someone their colleagues have never met. Fine. She can arrive ten minutes after you, find you by the bar and greet you as the friend you described. At the end, a shared taxi back to your hotel looks like the most ordinary thing in the world. Venues outside the centre

ExCeL in the Royal Docks lies past Zone 2, so the return cab fare is added to the quote up front. Conference hotels near Heathrow need three hours at the least, and her time on the road counts towards them. Inside Zones 1 and 2, travel is always part of the rate, whichever ballroom you are in.

Changes before the doors open
